This Privacy Policy explains how CampaignAI (“CampaignAI,” “we,” “us,” or “our”) collects, uses, discloses, stores and protects personal information when you visit campaignai.ai or web.campaignai.ai, communicate with us, request information, schedule an appointment, use a CampaignAI service, or interact with a business that uses CampaignAI.

By using our websites or services, you acknowledge the practices described in this Privacy Policy.

The information we collect depends on how you interact with CampaignAI and which services are being used.

Please do not submit highly sensitive information such as Social Security numbers, complete payment-card information, medical records, financial-account credentials or government identification numbers unless CampaignAI specifically requests it through an authorized and secure process.

  • AI-generated call or conversation summaries;

  • Website-chat and social-media conversations;

Calls may be recorded, monitored, transcribed or summarized where permitted by law. When required, a recording or monitoring notice will be provided.

Information Received From Other Sources

We may receive information from CampaignAI clients, business partners, service providers, lead-generation sources, advertising platforms, social-media platforms, CRM integrations, calendar integrations, public business sources, referral partners and other authorized integrations.

2. How We Use Personal Information

CampaignAI may use personal information to:

  • Operate and improve our websites and services;
  • Respond to inquiries and provide requested information;
  • Conduct revenue audits and business assessments;
  • Schedule and manage appointments;
  • Create and maintain customer and prospect records;
  • Provide CRM, workflow and automation services;
  • Respond to calls, texts, emails, chats and social-media messages;
  • Route communications to the appropriate person or department;
  • Qualify inquiries based on information provided;
  • Provide AI receptionist and conversational AI services;
  • Create transcripts, summaries, classifications and follow-up tasks;
  • Send confirmations, reminders, updates and service notices;
  • Follow up with leads and customers;
  • Measure campaign activity and marketing attribution;
  • Track calls, forms, QR scans, direct mail and event responses;
  • Provide campaign-production or print-fulfillment services;
  • Process transactions and administer accounts;
  • Provide technical and customer support;
  • Personalize communications and user experiences;
  • Send marketing messages where permitted;
  • Maintain consent and opt-out records;
  • Detect and prevent fraud, abuse and security incidents;
  • Enforce agreements and policies;

  • Protect CampaignAI, our clients, users and the public.

CampaignAI does not use its general website-facing AI systems to make decisions that produce legal or similarly significant effects concerning employment, housing, credit, insurance, healthcare eligibility or government benefits.

3. Artificial Intelligence and Automated Processing

CampaignAI uses artificial intelligence and automated systems to support services such as answering and routing calls, responding to messages, collecting inquiry information, scheduling appointments, transcribing calls, summarizing conversations, assigning workflow categories, recommending follow-up actions, drafting communications and measuring campaign activity.

AI-generated responses and summaries may occasionally be incomplete or inaccurate. Important information should be independently reviewed before relying on it.

CampaignAI may use third-party AI and technology providers to perform these functions. Those providers may process information reasonably necessary to provide the requested service under applicable agreements, privacy commitments and security requirements.

Where appropriate, CampaignAI personnel or authorized client personnel may review AI-assisted interactions for service delivery, quality assurance, troubleshooting, safety, training or compliance.

4. CampaignAI Client Data

CampaignAI provides managed technology, communications, CRM, automation, AI, attribution and marketing services to other businesses.

When you interact with a business that uses CampaignAI, that business may be primarily responsible for deciding what information is collected, why it is collected, what communications are sent, which automations operate, who may access the information and how long it is retained.

In those circumstances, CampaignAI generally processes information on behalf of that client as a service provider or data processor. The client’s privacy policy and terms may also apply.

Privacy requests concerning a client’s use of your information should ordinarily be directed to that client. CampaignAI may assist the client with responding to verified requests when required.

CampaignAI clients are responsible for configuring and using the services in compliance with applicable privacy, call-recording, telemarketing, email, text-messaging, consumer-protection and industry-specific laws.

5. Telephone Calls and Call Recordings

CampaignAI or a CampaignAI client may use telephone systems that record, monitor, transcribe, summarize or analyze calls.

  • Respond to and route your request;
  • Schedule an appointment;
  • Create or update a customer record;
  • Document instructions or service needs;
  • Improve customer service;
  • Measure campaign performance;
  • Train or evaluate authorized personnel;
  • Detect fraud or misuse; and
  • Maintain quality and compliance records.

Recording and transcription will be conducted subject to applicable notice and consent requirements. Continuing a call after receiving a recording notice may constitute consent where permitted by law.

6. Text Messaging and Mobile Information

When you provide your telephone number and consent to receive text messages, CampaignAI may send informational, transactional, customer-service, appointment, follow-up or promotional messages to that number. Messages may be sent using automated technology.

  • Message frequency varies.
  • Message and data rates may apply.
  • Consent to promotional texts is not a condition of purchase.
  • Reply STOP to unsubscribe.
  • Reply HELP for assistance.

After an opt-out request, we may send one final confirmation message. You will not receive additional text messages unless you later provide new consent or initiate another communication for which a response is permitted.

Mobile privacy commitment: No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be sold or shared with third parties, except with telecommunications carriers, messaging aggregators, platform providers and other service providers necessary to deliver and support the messaging service.

Opting out of text messages does not automatically unsubscribe you from email communications. Preferences for each channel may be managed separately.

7. Email Communications

CampaignAI may send responses to inquiries, appointment confirmations, account and service notifications, customer-support messages, requested information, transactional communications and marketing emails where permitted.

Marketing emails will include an unsubscribe method when required. Unsubscribing from marketing emails will not prevent CampaignAI from sending necessary transactional, security, account, legal or service-related communications.

8. Cookies and Similar Technologies

CampaignAI and our service providers may use cookies, pixels, tags, scripts, local storage and similar technologies to operate website features, remember preferences, maintain security, diagnose technical problems, measure traffic and conversions, understand campaign sources, improve user experience and prevent fraud.

Types of Cookies

  • Essential cookies: Website operation, security, forms and account access.
  • Functional cookies: Preferences and enhanced functionality.
  • Analytics cookies: Website traffic and page effectiveness.
  • Advertising cookies: Advertising measurement and relevant advertising where used.

You can control cookies through your browser settings and any cookie-control tools made available on our website. Blocking cookies may affect certain features.

Where applicable law requires recognition of a legally valid browser-based opt-out signal, such as Global Privacy Control, CampaignAI will process that signal as required.

9. How We Disclose Personal Information

CampaignAI Clients

When you interact with a CampaignAI client, information may be provided to that client and its authorized personnel so they can respond to and manage your inquiry.

Service Providers

We may use providers that support website hosting, CRM, automation, telephone services, call recording, transcription, text delivery, email delivery, AI, scheduling, storage, analytics, advertising measurement, payments, print production, customer support, cybersecurity and professional services.

These providers may access information only as reasonably necessary to perform services, subject to applicable agreements and legal obligations.

Business Partners and Integrations

Information may be disclosed to a third-party platform or integration when you, CampaignAI or a CampaignAI client authorizes that connection.

Legal and Safety Disclosures

We may disclose information when reasonably necessary to comply with law, respond to lawful requests, protect rights or safety, investigate fraud or security incidents, establish or defend legal claims, or enforce contracts and policies.

Business Transactions

Information may be transferred in connection with a merger, acquisition, financing, restructuring, bankruptcy, sale of assets or similar transaction, subject to applicable law.

At Your Direction

We may disclose information when you request or authorize us to do so.

10. Sale and Sharing of Personal Information

CampaignAI does not sell personal information for monetary consideration.

CampaignAI does not sell or share mobile opt-in information, telephone numbers or text-message consent records for third parties’ independent marketing or promotional purposes.

We may use analytics and advertising technologies that could be treated as “sharing” under certain state privacy laws. Where those laws apply, CampaignAI will provide and honor the required privacy choices.

CampaignAI does not knowingly sell personal information belonging to individuals under 16 years of age.

11. Payment Information

CampaignAI may use third-party payment processors. Payment-card information is generally submitted directly to the processor and is governed by that provider’s privacy policy and security practices. CampaignAI does not ordinarily receive or store complete card numbers or card-security codes.

We may retain transaction details such as customer name, billing contact information, transaction date, amount, product or service, payment status and processor transaction identifier.

12. Data Retention

CampaignAI retains personal information for as long as reasonably necessary to provide services, maintain customer relationships, operate client accounts, complete transactions, maintain consent records, comply with client instructions, meet contractual requirements, resolve disputes, prevent fraud, maintain security, enforce agreements and satisfy legal, tax, accounting and regulatory obligations.

Retention periods vary depending on the type and sensitivity of the information, the reason it was collected, client instructions and applicable legal requirements.

Information may remain temporarily in secure backups after deletion from active systems until normal backup-deletion cycles are completed.

13. Data Security

CampaignAI uses reasonable administrative, technical and organizational safeguards designed to protect personal information from unauthorized access, use, alteration, disclosure, loss or destruction.

Safeguards may include access controls, authentication protections, secure connections, encryption where appropriate, role-based permissions, monitoring, vendor management, confidentiality requirements, data minimization and incident-response procedures.

No website, network, transmission method or storage system can be guaranteed to be completely secure. CampaignAI therefore cannot guarantee absolute security.

14. Your Privacy Rights

Depending on where you live and which laws apply, you may have the right to:

  • Request information about the personal information we collect;
  • Access information maintained about you;
  • Correct inaccurate information;
  • Request deletion of information;
  • Receive a portable copy of certain information;
  • Object to or restrict certain processing;
  • Opt out of certain advertising or data-sharing practices;
  • Withdraw consent where processing is based on consent;
  • Appeal the denial of a privacy request; and
  • Receive equal service without unlawful discrimination.

To submit a request, email or call CampaignAI using the contact information at the end of this policy. Identify the request as a Privacy Request and describe the right you wish to exercise.

We may need to verify your identity. Certain information may be exempt from a request when it is needed to complete a transaction, provide a service, maintain security, comply with law, preserve legal rights or maintain required consent and opt-out records.

15. California Privacy Notice

This section applies to California residents to the extent the California Consumer Privacy Act, as amended, applies to CampaignAI’s processing of their personal information.

California residents may have the right to request:

  • The categories and specific pieces of personal information collected;
  • The sources and purposes of collection;
  • The categories of recipients receiving information;
  • Correction of inaccurate personal information;
  • Deletion, subject to legal exceptions;
  • A portable copy of certain information;
  • Opt-out of sale or sharing;
  • Limitation of certain uses of sensitive information; and
  • Freedom from unlawful discrimination.

CampaignAI does not sell personal information for monetary consideration. Where required, CampaignAI will honor valid Global Privacy Control signals as an opt-out request for the browser or device sending the signal.

16. International Visitors

CampaignAI is based in the United States. Personal information may be processed and stored in the United States and other countries where service providers operate. Privacy laws in those locations may differ from the laws in your jurisdiction.

Where required, CampaignAI will use appropriate legal mechanisms or safeguards for international transfers.

Residents of the European Economic Area, United Kingdom, Switzerland or other jurisdictions may have rights to access, correct, delete, restrict, object to or request portability of personal information. Where processing is based on consent, consent may be withdrawn at any time without affecting earlier lawful processing.

17. Sensitive and Regulated Information

CampaignAI’s general websites and marketing services are not intended for the unrestricted submission of Social Security numbers, government identification numbers, complete payment-card information, financial-account passwords, detailed medical records, genetic information, biometric identification data or other highly sensitive regulated information.

Unless CampaignAI and a client have entered into a separate written agreement addressing specific regulatory requirements, users should not submit protected health information, regulated financial information or similarly sensitive information through general forms, chats, text messages or AI agents.

18. Children’s Privacy

CampaignAI’s websites and services are intended for businesses and adults. They are not directed to children under 13.

CampaignAI does not knowingly collect personal information directly from children under 13 without legally required parental consent. Contact us if you believe a child has provided personal information so we can investigate and take appropriate action.

Our websites and communications may contain links to third-party websites, platforms or services. CampaignAI does not control and is not responsible for the privacy, security, content or business practices of those third parties.
